Session Equipment Provided

Please note the equipment provided for presentations, workshops, and academies vary.

Presentations and Academy Breakout Sessions
All rooms include a data projector with HDMI and VGA cable, 16:9 format screen, voice amplifying system for two presenters, and computer audio output. Electrical, wired, and wireless Internet is provided to the presenter.
Presenters should bring their own computers with the required software for presentations. Peripheral devices such as printers, scanners, cameras, and other specialized hardware are the responsibility of the presenter. This includes connectors such as Mac or tablet adaptors.

Presentation Panels
All rooms include a data projector with HDMI and VGA cable, 16:9 format screen, voice amplifying system with three microphones, tables for panelists, and computer audio output. Electrical, wired and wireless Internet is provided to the presenter.
Presenters should bring their own computers with the required software for presentations. Peripheral devices such as printers, scanners, cameras, and other specialized hardware are the responsibility of the presenter. This includes connectors such as Mac or tablet adaptors.

Poster Sessions
All poster sessions occur in the Poster Pavilion on level 4 of the Convention Center. Each poster session will be provided with a 6-foot table, monitor with HDMI and VGA cable, and board you can attach any flyers and/or handouts to.

Presenters should bring their own computers with the required software for presentations. TCEA will not be able to store any items for your session before or after your session.

Below is the Poster Session schedule. Presenters will be given an allotted amount of time to setup and tear down their session. Please send any questions to presenters@tcea.org.

BYOD Workshops
All rooms include a data projector with HDMI and VGA cable, 16:9 format screen, voice amplifying system for two presenters, and computer audio output. Electrical, Windows 10 PC Computer, wired and wireless Internet is provided to the presenter. Wireless Internet and electrical is provided to participants.
Presenters should bring their own computers with the required software for presentations. Peripheral devices such as printers, scanners, cameras, and other specialized hardware are the responsibility of the presenter. This includes connectors such as Mac or tablet adaptors.

PC Workshops
All rooms include a data projector with HDMI and VGA cable, screen, voice amplifying system for two presenters, a computer is provided to the presenter with computer audio output, and a PC computer is provided to each participant. All computers will have a wired Internet connection. Software sent ahead of time will be pre-installed. A full list of installed software is below.

Special Equipment Requested
Document cameras, headsets, and extra power strips will be provided only to presenters who requested them in advance. Additional equipment is the responsibility of the presenter. Any special needs or requests may be sent to presenters@tcea.org for consideration.

Technical Support

Technical support will not be provided for personal computers or other equipment brought in for your presentation. We will have a TechSperts desk to provide guidance for troubleshooting.
The Austin Convention Center uses a DHCP server to hand out IP numbers for you to gain Internet access. Thus, if you bring a computer, you will need to set it for DHCP. Be sure to write down ALL settings from your district connection before you change your computer settings.
Important Notes:

  • This year, TCEA is deploying wide screens in all meeting rooms. Please prepare your presentation to appropriately fill the screen in a 16 x 9 format.
  • Adhering anything to the wall or furniture rearrangement is NOT permitted by the Center.  
  • Periscoping entire sessions or keynotes is not acceptable.
  • Apple TV and mobile hotspots are not permitted.
  • VGA or HDMI adapters (or dongles) are not provided. Presenters that need this will be expected to bring their own.
